FHC Consulting

Patient flow consulting for outpatient clinics and cancer centers

Add 25% more patients without adding another provider.

When providers wait on rooms, every gap is a visit you can't schedule. FHC Consulting finds those gaps in the data you already collect, then redesigns rooming, scheduling, and hand-offs to close them.

Led by Elliott Aronson, healthcare operations and RTLS specialist. You work with me directly, from first call to hand-off.

+25%visits from the same provider and the same hours

Illustrative: 18 minutes of care per visit. Cutting the wait for the next roomed patient from 6 minutes to about 1 fits 5 more visits into 480 minutes. 25% is a target where provider downtime is the main constraint; your baseline confirms what's achievable.

What we fix

What's slowing your clinic down?

Start with the problem you're seeing. Each one maps to a defined piece of work with a clear deliverable.

You're seeing

Full lobbies and long waits to be roomed

Patients sit in the waiting area while rooms look open, and nobody can say exactly where the time goes.

What we doMeasure lobby-to-room time by floor, clinic, day, and hour from your RTLS or check-in data.

You're seeing

Providers waiting on the next patient

Schedules are full, but providers stand idle between visits while rooming and intake catch up.

What we doFind the minutes lost between visits and redesign rooming and hand-offs to give them back.

You're seeing

Infusion chairs booked, patients still waiting

Chair time, pharmacy turnaround, and nurse assignments don't line up, so the day backs up by midmorning.

What we doMap the infusion flow step by step and flag the bottlenecks that set the pace.

You're seeing

RTLS data nobody trusts

Badges and sensors are installed, but room names don't match the floor plan and reports don't add up.

What we doMap every room and zone to the floor plan, fix location definitions, and validate the data.

You're seeing

Reports that take days to build

Someone exports spreadsheets every month and rebuilds the same wait-time report by hand.

What we doBuild a repeatable workbook or dashboard your team can refresh in minutes.

You're seeing

A new workflow that didn't stick

The redesign looked good on paper, but staff drifted back to the old way within weeks.

What we doRedesign with the staff who do the work, then train, document, and measure the change.

Services

Five ways to get the time back

Each engagement is scoped to fixed deliverables, so you know what you're getting and when.

Patient flow and wait-time analysis

Turn badge-swipe and timestamp exports into a clear picture of lobby waits, rooming times, and provider-in-room time.

  • Wait-time baselines and monthly trend reports
  • Bottlenecks by unit, day of week, and hour
  • Room utilization and capacity views

RTLS setup and location mapping

Get real-time location systems configured correctly so the data they produce can be trusted.

  • Room and zone definitions mapped to floor plans
  • Device and sensor placement records
  • Data validation before go-live

Clinical workflow redesign

Map how work actually moves through a unit, then redesign the hand-offs that cause delays, with the staff who do the work.

  • Current-state and future-state process maps
  • Infusion, oncology, and outpatient clinic flows
  • Rooming, staffing, and scheduling recommendations

Operational tools and reporting

Simple, maintainable tools your team will actually use once the engagement ends.

  • Excel workbooks and dashboards
  • Staff tracking and workflow tools
  • Websites for practices and clinics

Provider scheduling and capacity

Rebuild provider master schedules and daily templates so appointment slots match how long visits actually take, and fewer openings go unfilled.

  • Provider master schedules and daily templates
  • Slot lengths set from real visit and rooming times
  • Automated rescheduling and appointment rules

Personalized quote

A quote built around your clinic

Every clinic starts from a different place, so every engagement is priced for your sites, providers, and data. Most work falls into one of these.

  • Wait-time baselineLobby, rooming, and provider wait times for one clinic or floor, with a findings report
  • Capacity and rooming redesignBaseline, redesigned rooming and hand-offs, staff training, and a before-and-after report
  • Scheduling template redesignProvider master schedules and daily templates rebuilt from your real visit times

How it works

From first call to hand-off

  1. Intro call

A free 30-minute conversation about the problem, the data you have, and whether we're a good fit.

  2. Scope of work

A written statement of work with deliverables, acceptance criteria, timeline, and a fixed or estimated fee.

  3. Measure and redesign

We build the baseline, find the delays, and work with your team on the changes.

  4. Hand-off

Your team gets the tools, documentation, training, and a before-and-after report.

Data and compliance

Built for work around patient data

Health data is handled under HIPAA from the first conversation.

  • Business Associate Agreement first. No protected health information is shared until a BAA is signed.

  • De-identified data where possible. Most flow analysis works without names or record numbers.

  • Minimum necessary. Only the fields the analysis needs are requested.

  • Secure handling. Encrypted storage and transfer, multi-factor authentication, and secure destruction at the end of the engagement.

About

Work directly with the person doing the analysis

FHC Consulting LLC is a Georgia consulting firm founded by Elliott Aronson. The work comes from inside hospital operations: configuring location systems, mapping floors room by room, and turning raw badge data into wait-time numbers that leaders can act on.

There's no hand-off to a junior team. The person on your first call is the person who builds your baseline and presents the results.

FAQ

Common questions

What data do you need?
Usually an export of location or check-in events with timestamps and room names. Names and record numbers are rarely needed, and we ask for the minimum.
Do you need access to our EHR?
Not usually. Most analysis runs on exports your team already produces. If system access is needed, it's scoped in writing first.
Will you sign a Business Associate Agreement?
Yes. A BAA is signed before any protected health information is shared, and we can use your organization's form.
How long does an engagement take?
A wait-time baseline typically takes a few weeks once data is in hand. Redesign work depends on scope and is set in the statement of work.
How is pricing set?
Fixed fee, hourly with an estimate, or a monthly retainer. You see the fee and deliverables before any work starts.
Do you work on site?
On site across metro Atlanta, and remotely anywhere. Floor walks and staff sessions are scheduled in advance.
